Overview of role

This role is based in Hong Kong and supports the Head of Finance Support Asia and is a key member in our Finance Support team. The role will be responsible for a broad range of accounting and financial activities, including managing billing, accounts receivable, accounts payable, month end journals and tax returns.
 

Duties, Responsibilities & Person Specification

Billing

  • Perform analysis on all draft bills must be processed and posted by Revenue Controller and Billing Assistant Process client bills and credit notes; 
  • Manage bills write off request, bills reversal request, invoice reprint and assist with accounting technical aspects of handling these requests; 
  • Produce and perform AR/funds held on account analysis to ensure that all invoices are correctly applied before month end close;
  • Monitor Clients' Accounts in compliance with Solicitors' Accounts Rules and perform allocation upon work completion;
  • Assist and produce month to date fees billed summary report; and
  • Help and prepare WIP reports.


Accounts Receivable

  • Produce AR aging reports to assist Credit Controller with AR chasing activity and discussion with respective attorney;
  • Ensure all cash receipts are correctly booked and recorded by Credit Controller; 
  • Provide accounting technical support for any duplicate payments and advise both Credit Controller and Accounts Payable Assistant on refund process and its relevant bookkeeping; and
  • Provide and produce monthly Regional cash inflow summary report for Management Committee and cash maximization status.


Accounts Payable

  • Review all AP vouchers and ensure they are properly recorded to the correct expenses accounts;
  • Review and approve all staff expenses claims;
  • Review all cheque/online/wire transfer payment request;
  • Work closely with other offices on disbursements upload;
  • Review and approve bank reconciliation and petty cash register; and
  • Review monthly third party payments.


Others – General Ledger

  • Prepare and update month end journals and reconciliation schedules;
  • Interoffice transaction journal preparation;
  • Provide monthly management commentaries based on budget versus year-to-date actuals;
  • Drive and attempt to return and refund long aged funds held on account;
  • Assist with yearly budget process;
  • Assist and produce staff payroll/rental reimbursement report for employer's tax returns;
  • Prepare payroll journal and payroll summary report;
  • Assist with yearly audit carried out by Group;
  • Assist with Solicitor's Accountant Report and client's account audit;
  • Provide support to Company's Profits tax returns; and
  • Participate in ad hoc projects.


Team Supervisory

  • The role will be supervising a team of 3 to 4 people on a day-to-day basis on financial and accounting operation and also responsible for providing technical expertise and support to the team.

Education, Skills & Experience

COMPUTER KNOWLEDGE 

  • Windows/Microsoft Word/Microsoft Excel/ Microsoft Outlook;
  • MS Teams; and
  • AdEx or other relevant accounting systems.


EDUCATION and/or EXPERIENCE 

  • An internationally recognised professional accounting qualification (CA, ACA, CPA) with minimum of 3-5 years post qualification experience, preferably in auditing/professional firm or legal sector. Candidates with less experience will be considered for the position as Financial Accountant.
  • Experience in a financial control function and auditing would be ideal.
  • In-depth understanding of accounting and financial reporting principles, specifically detailed knowledge of International Accounting Standards.
  • Prior experience operating in finance department of an international law firm would be an advantage.
  • Excellent communication skills and must also be able to work accurately, paying close attention to detail, particularly during times of pressure, with the ability to effectively manage workloads and meet deadlines.
  • Methodical, very well organised with strong computer skills, including an advanced knowledge of Microsoft Excel.
