JOB PURPOSE
Provide high-quality executive, operational and administrative support to the Managing Director, Asia and Middle East and coordinate key activities across the Hong Kong office and wider region. The role is intended to create capacity for regional leadership by ensuring priorities, meetings, travel, reporting, projects, information and follow-up actions are organised and delivered reliably.
The Executive Assistant / Operations Executive will act as a trusted coordination point across regional management, service lines and corporate functions. The role will combine proactive executive assistance with hands-on operational delivery, including preparation of management information, maintenance of key trackers, coordination of governance and regulatory documentation, office and event support, and oversight of assigned actions through to completion.
The position requires a highly organised, discreet and resourceful professional who can anticipate needs, exercise sound judgement, manage sensitive information and move confidently between strategic priorities and practical day-to-day requirements.
Duties, Responsibilities & Person Specification
- Provide proactive executive support to the Managing Director and Leadership Team, including diary management, meeting coordination, travel arrangements and managing competing priorities.
- Prepare, format and quality-check presentations, reports, briefing papers, correspondence and other business-critical documentation.
- Coordinate regional management information, budgets, business plans and reporting, ensuring data is accurate, timely and presented clearly for decision-making.
- Support strategic projects, governance activities and business process improvements by maintaining project plans, trackers, records and action logs.
- Build strong relationships across regional and global teams, coordinating inputs and ensuring actions and deliverables are completed on time.
- Organise meetings, board sessions, stakeholder visits, recruitment activities and events, managing all logistics and supporting materials.
- Maintain accurate records, document libraries and confidential corporate information, ensuring the highest standards of organisation and discretion.
- Provide flexible operational and administrative support to the Hong Kong office and wider WPS business, contributing to the smooth day-to-day running of the function.
- Act as a trusted point of contact for internal and external stakeholders, delivering a professional, responsive and solutions-focused service.
- Undertake additional executive, operational and project support responsibilities as required to meet evolving business needs.
Education, Skills & Experience
To perform this role successfully, the individual must combine excellent executive support, operational coordination, analytical and stakeholder-management capability. The requirements below are representative of the knowledge, skills and abilities considered necessary to achieve the required standard.
- Bachelor’s degree from a recognised institution preferred, or equivalent relevant experience.
- At least three years’ relevant experience in executive support, operations, project coordination or administration within a demanding, deadline-driven environment.
- Experience supporting a senior executive or regional leadership role is strongly preferred.
- Experience preparing management reports, presentations, trackers and business information is preferred.
- Experience coordinating confidential corporate, governance, regulatory or board documentation is advantageous.
- Excellent written and spoken English; fluent Cantonese is essential, with Mandarin advantageous.
- Demonstrates technological curiosity, adaptability and a commitment to embracing new tools and digitally enabled ways of working.
- Uses technology and data to improve processes, decision-making and service delivery.
- Ability and willingness to occasionally work outside normal Hong Kong working hours to support regional and global commitments.
- Ability to attend the Hong Kong office regularly and undertake occasional local errands or in-person document handling when required.
