The Role

 

The Facilities Assistant provides day-to-day operational and administrative support to ensure that company premises are safe, compliant, well maintained and provide an effective working environment for employees, clients and visitors. The role supports the Facilities Manager in coordinating planned and reactive maintenance, contractors, health and safety activities, workplace services, inspections and general facilities administration.

Duties, Responsibilities & Person Specification

  • Support the day-to-day operation, maintenance, safety and security of office facilities and associated workplace services.
  • Conduct workplace inspections, identify and report defects, hazards and maintenance requirements, and monitor corrective actions through to completion.
  • Raise, track and close facilities work orders, coordinating contractors and service providers to ensure timely delivery and compliance with health and safety requirements.
  • Maintain maintenance schedules, service records, contractor documentation, asset records and facilities reporting information.
  • Support health and safety, fire safety, emergency preparedness, evacuation drills and business continuity activities, including hurricane and severe weather preparations.
  • Coordinate office moves, workspace changes, meeting room setups, deliveries, cleaning, waste management and other workplace services.
  • Monitor office supplies, furniture, fixtures, equipment and shared facilities to ensure a safe, efficient and professional working environment.
  • Support building access control, visitor management, key and access card administration, and the reporting of security concerns.
  • Assist with facilities administration, including purchase orders, invoices, quotations, budget tracking and supplier management.
  • Provide responsive and professional support to employees on facilities-related requests and issues.

Education, Skills & Experience

Essential

 

  • Previous experience in facilities, property, maintenance, office services or a similar operational environment.
  • Good organisational and administrative skills.
  • Ability to coordinate multiple activities and priorities.
  • Good written and verbal communication skills.
  • Competent user of Microsoft Outlook, Word and Excel.
  • Ability to maintain accurate records.
  • Strong customer-service approach.
  • Ability to work effectively with employees, contractors and suppliers.

 

Desirable

 

  • Previous facilities management experience.
  • Experience using a CAFM or work-order management system.
  • Basic knowledge of building services and maintenance.
  • Health and safety training.
  • First Aid certification.
  • Fire Warden/Marshal training.
  • Experience working within a professional services, corporate or commercial office environment.
