Overview of role
We are seeking a creative and tech-savvy Events Administrator to join our dynamic events team. Reporting to the Events Manager, this role will support the planning and delivery of all virtual and in-person Walkers-hosted events across the Americas Region.
Duties, Responsibilities & Person Specification
- Provide administrative and logistical support to the Events Manager and wider team throughout all stages of event planning and execution.
- Liaise with external vendors to source event equipment (AV, décor, catering, etc.) and attend site visits when required.
- Work closely with the events team to source gifts, promotional items, and other materials for each event.
- Assist in designing and producing professional invitations for firm events, ensuring compliance with branding guidelines and collaborating with the marketing team to maintain visual identity standards.
- Support the creation and maintenance of event timelines and project plans to ensure deadlines are met.
- Represent Walkers at conferences and events as needed.
- Prepare and organise event materials, including delegate packs, name badges, signage, seating plans, and branded collateral.
- Contribute to post-event debriefs and assist with compiling feedback, attendance data, and reporting metrics.
- Perform general administrative duties such as filing contracts, processing invoices, managing inventory of event supplies, taking notes at planning meetings, updating templates, and ensuring all documentation is filed promptly.
Education, Skills & Experience
- Minimum 2 years’ experience in a similar role, with proven ability to assist in organising large meetings, events, and/or conferences.
- Strong understanding of business operations and ability to assimilate information quickly.
- Knowledge of marketing techniques relevant to event management.
- Excellent communication and marketing skills.
- Proficient in MS Office and comfortable with technology.
- Familiarity with virtual event platforms such as Zoom, Microsoft Teams, and ON24.
- Exceptional organisational and problem-solving skills.
- Ability to work under pressure and meet tight deadlines.
- High attention to detail and experience reviewing vendor contracts/agreements.
- Flexibility to work outside normal hours when required (eligible for overtime payment).
- Willingness to travel locally and internationally as needed. Own transportation is required for attending off-site meetings and events.
