Overview of role
We are seeking a highly accomplished Executive Legal Secretary with over five years of proven success supporting senior legal professionals in a fast-paced environment. The successful candidate will deliver exceptional administrative and operational support with precision, professionalism and strategic foresight.

Salary Range: US$80,000 - US$115,000
The successful individual must be experienced in the preparation of standard and complex legal documents, corresponding with government agencies, authorities and clients, handling billings and collections management, assisting with a variety of complex legal administration transactions, database management, matter management, and client service management. Specifically, they must demonstrate a high level of effectiveness in the following areas:
- Manage confidential client onboarding processes including, conflict checks with a high degree of discretion and awareness
- Create, edit and amend documents i.e. Court Pleadings and general correspondence, including the preparation of "blacklined" documents
- Maintain accurate records including saving correspondence and documents in the appropriate electronic matter file
- Manage the compilation of court bundles including indexing, in preparation for hearings
- Arrange court admission for new attorneys/visiting Counsel
- Carry out court searches
- Assist with the process for documents to be apostilled/legalised
- Prepare and advertise Gazette notices
- Arrange document execution and notarisation, ensuring accuracy, legal sufficiency and timely delivery
- Provide billing support, including the drafting of billing narratives, assisting with collections and liaising collaboratively with both clients and the Accounts Department
- Respond to internal and external telephone enquiries, and ensuring that every call is attended to in a professional and polite manner
- Liaise with clients as appropriate and in accordance with attorneys' instructions and Firm policies and procedures
- Participate in special projects as and when required in relation to the corporate practice area
- Proactively maintain and update details of client contacts within the lawyer's personal contact database under InterAction
- Photocop, scan and courier of documents and correspondence
- Arrange meetings and diary management
- Arrange the closing and archiving of accounts and files
- Organise cheque requests and collection
- Support and work in collaboration with members of the secretarial team and other business services teams to meet required deadlines
- Provide cover for other secretaries within the team during times of absence as required
- Familiarise yourself and comply with the Firm's house style
- Familiarise yourself and comply with the Firm policies relevant to the purpose of the role
- Carry out any other duties commensurate with the purpose of the job, including the performance of duties outside normal working hours
Education, Skills & Experience
- Extensive experience spanning a minimum of five years’ secretarial experience in a legal services environment supporting senior professionals
- Holds a distinguished legal secretarial qualification from a recognised university or college
- Demonstrates a comprehensive, nuanced understanding of legal terminology, procedures and documentation
- Highly adept in using in using billing software, legal practice management and document management systems
- Exhibits advanced proficiency in Microsoft Office applications
- Possesses exceptional organisational and time management skills with a proven ability to manage competing priorities
- Maintains impeccable, meticulous attention to detail in all aspects of work
- Demonstrates rapid, precision-based typing at 70 wpm with an accuracy of 98%
- Upholds the highest standards of discretion and professionalism, with a trusted confidential approach to sensitive matters
- Delivers articulate, persuasive written and verbal communication, with the ability to engage effectively across all levels of seniority
- Operates with a self-directed, solution-oriented mindset while thriving in collaborative, cross- functional environments
