Overview of role

Walkers invites applications from suitably qualified Caymanians or Residents with Employment Rights only for the Facility Services Assistant position.

Your general responsibility will be to greet and assist clients and guests in the conference room reception area; answer and attend to the overflow of incoming and outgoing calls through the PBX switchboard. Duties, Responsibilities & Person Specification

To provide general administrative support to staff including (without limitation)

• Process incoming and outgoing calls through PBS switchboard

• Report any PBX trouble signals or faults to the IT Service Desk

• Review and process voicemails, emails and faxes

• Provide general assistance to clients / staff/ external vendor using conference rooms, auditorium and reception areas on L1 and L7

• Assist with and monitor meeting room reservations; including refreshments and special requests

• Set-up and breakdown of wares in meeting rooms and auditorium for meetings with and without meals

• Restocking of refreshment and stationery supplies for meeting (X6) and auditorium

• Inventory and ordering of supplies for meeting rooms and tea points

• Process end of the month report of department activity

• Print and replace alphabetical telephone lists in meeting rooms daily (Level 7staff)

• Ensure meeting rooms, reception areas and associated storage areas maintain an organized and professional appearance and report any maintenance issues

• Any additional Facility Services / Administration tasks, which may arise

Education, Skills & Experience

  • A High School graduate with one to two years administrative and customer service experience; or equivalent combination of education and experience
  • Basic working knowledge of Windows -Microsoft Word -Microsoft Excel - Outlook
  • Good organisational skills and attention to detail
  • Good communication and interpersonal skills
  • The ability to operate with strictest of confidentiality
  • Ability to multitask and work in a fast paced environment
  • Excellent health and willingness to work overtime at short notice
  • Reliability essential
  • Ability to work independently and in a team
