Based in Cayman, the Fiduciary Services Executive will be responsible for the administration of a portfolio of companies, partnerships, funds and trusts, working closely with internal and external clients. The role requires a commercially minded, proactive individual who takes ownership of their portfolio and communicates clearly and confidently with clients and colleagues.
Duties, Responsibilities & Person Specification
- Administration and day-to-day management of a portfolio of fiduciary structures, including companies, partnerships, funds and trusts.
- Assisting with client onboarding, KYC requests, application for GIINs and completion of U.S. tax forms.
- Reviewing and assessing potential new business, including detailed review of related transaction documentation.
- Reviewing deal documentation, identifying and escalating deal or structural issues, managing tight timelines, and liaising directly with clients and external counsel.
- Assisting directors with the review of board packs, financial statements and preparation for board meetings.
- Preparing for execution and distribution of corporate and transaction documents.
- Interpreting board and shareholder resolutions and agreements and updating corporate records accordingly.
- Maintaining accurate minute books and transaction records.
- Inputting and maintaining accurate transaction and entity data across internal systems.
- Maintaining well-organised electronic client files in accordance with internal procedures.
- Managing billing processes and accounts receivable for own portfolio, including initial billing and collections.
- Ensuring regulatory and compliance requirements are met at all times.
- Maintaining proprietary databases from client take-on through transaction closing.
- Assisting with the completion of pre- and post-closing checklists.
- Initiating, leading or assisting with ad hoc projects and process improvement initiatives.
- Assisting with the training and supervision of junior staff.
- File set-up and close-out.
- Handling other administrative tasks or ad hoc projects as directed by senior management.
Education, Skills & Experience
- The individual must hold a minimum of an Associate's degree or equivalent with a minimum of Four years’ relevant experience in fiduciary, fund services, corporate services or financial services.
- It is strongly preferred if the individual ideally holds a professional accounting qualification (CA, ACA, ACCA or equivalent) or a relevant degree in law or finance.
- Excellent interpersonal, written and verbal communication skills.
- Strong sense of professionalism and accountability, with pride taken in delivering high-quality work.
- Strong appreciation for corporate governance and regulatory compliance.
- Proactively seeks opportunities to improve systems and processes.
- Self-motivated, able to work independently and collaboratively as part of a global team.
- Highly organised with strong attention to detail.
- Able to manage competing priorities and work under pressure with minimal supervision.
- Working knowledge of Microsoft Word, Excel and Outlook.
Compensation Data
