Overview of role
Walkers invites applications from suitably qualified Caymanians or Residency with Employment Rights Certificate holders for the position of Executive Legal Secretary.
We are seeking a seasoned, highly skilled and adaptable Executive Legal Float Secretary. This unique role offers the opportunity to work across six busy practice groups providing essential support during holidays, absences and periods of high work demand. This is not a static desk role, it requires agility, discretion and the ability to quickly integrate into different teams and workflows. You will be a trusted resource across the firm, ensuring continuity and excellence in administrative support.
Duties, Responsibilities & Person Specification

- Provide support across six practice groups i.e. Investment Funds, Insolvency & Dispute Resolution, Finance & Corporate, Private Capital & Trusts, Regulatory and Insurance, adapting quickly to different team dynamics and workflows
- Step in during holiday, sick leave, and peak periods to maintain continuity and productivity
- Build strong working relationships with lawyers, paralegals, secretaries and other support staff
- Serve as a professional point of contact for clients and internal stakeholders

- Executive Support:

- Provide seamless secretarial and administrative support to Lawyers across our legal teams (without limitation):
- Preparation of standard and complex legal documents i.e. drafting incorporation and formation documents in respect of Cayman Companies, Cayman Partnerships and Cayman LLCs. Registering foreign partnerships and foreign LLCs in the Cayman Islands
- Making all necessary filings with internal and external bodies in relation to, inter alia, special resolutions, ordinary resolutions, amended and restated memorandum and articles of association, changes of directors and officers
- Liaising with registered offices to obtain current company constitutional documents, statutory registers and Certificates of Good Standing
- Organising documents for fund entities to be uploaded for registration through the Government Portal, REEFS
- Assist in the termination of funds when they reach the end-of-life cycle
- Submitting e-Gazette notices
- Implementing and maintaining lawyers' billing and collections system including drafting of billing narratives, maintaining client billing addresses and billing rules, assisting with collections, liaising with clients and liaising with the Accounts Department
- Arranging the opening and closing of matter files including running conflict checks
- Maintain accurate records and correspondence files in relation to the Firm's client files.
- Creating, editing, amending and storing of correspondence and documents in the appropriate electronic matter file, including the preparation of "blacklined" documents and compiling signature packs
- Responding to internal and external telephone enquiries, and ensuring that every call is attended to in a professional and polite manner
- Photocopying and scanning of documents and correspondence
- Diary management including scheduling client meetings, preparing agendas and ensuring logistics are handled smoothly
- Booking travel arrangements including the creation of travel itineraries
- Reconciling expense claims
- Liaising with Clients as appropriate and in accordance with a fee earner's instructions and firm policies
- Familiarisation and compliance with Firm's policies relevant to the purpose of the job
- Participating in special projects as and when required in relation to the Firm's and the Lawyers practice areas
- Carrying out any other duties commensurate with the purpose of the job, including the performance of duties outside normal working hours

Education, Skills & Experience

- A recognised legal secretarial qualification from a recognised university or college
- A minimum of 5 years secretarial experience in a legal services environment supporting senior professionals
- A strong understanding of legal terminology, procedures and documentation
- Experience with legal practice management and document management systems

Compensation Data
