Overview of role

Due to continued global growth, we are seeking a diligent and highly organised Resourcing Administrator to join our Cayman team. Reporting to the Resourcing Manager (Americas), this role provides end-to-end resourcing and immigration administrative support to the Resourcing Manager (Americas) and the Global Resourcing team.

Duties, Responsibilities & Person Specification

  • Provide administrative support across Professional, Business, and Legal Services recruitment.
  • Draft, post, and manage job adverts internally and externally (including LinkedIn), ensuring consistent branding and compliance with internal policies.
  • Log, track, and maintain applicant data in the ATS in line with recruitment policies and data privacy requirements.
  • Manage interview scheduling for the Americas (Cayman, Bermuda, and BVI) for in-person and Microsoft Teams interviews; arrange assessments and coordinate with candidates and hiring teams.
  • Monitor and action the Recruitment inbox, triaging queries promptly and professionally for Americas stakeholders.
  • Issue timely candidate and agency feedback and manage third-party communications.
  • Assist the London-based Resourcing Assistant with drafting and issuing RSAs to new recruitment suppliers, as well as assist in managing the global PSL.
  • File job descriptions and related documents in iManage; maintain organised, up-to-date folders and records.
  • Act as an ATS “champion”, ensuring accurate, real-time data for reporting and audit purposes.
  • Prepare team materials (PowerPoint, Excel trackers, Visio process maps) and support ad hoc projects.
  • Assist the Resourcing Manager with preparing, compiling, and quality-checking immigration packs (e.g., application forms, recruitment reports, adverts, interview notes, candidate matrices, reference/verification letters, and supporting evidence).
  • Assist the Resourcing Manager with responding to immigration queries related to recruitment; liaise with hiring managers, HR Advisory, and HR Operations as required.
  • Maintain immigration documentation and iManage records, ensuring accuracy, confidentiality, and audit readiness.
  • Stay current with Cayman Islands Immigration and Employment Laws and firm procedures; escalate risks and advise on document requirements.
  • Provide regular progress updates to the Resourcing Manager and support general HR administration associated with immigration outcomes.
  • Conduct recruitment activities (with support from senior members of the resourcing team) for junior-level roles in the Business Services team, including tasks such as screening CVs, coordinating interviews, and managing candidate communications.

Education, Skills & Experience

  • 2+ years’ HR administrative or resourcing experience with demonstrable attention to detail and accuracy.
  • Associate degree and/or CISHRP HR certification (or equivalent) is an advantage.
  • Working knowledge of Cayman Islands Immigration and Employment Laws as they relate to recruitment and work permits is an advantage.
  • Experience using an ATS (applicant tracking system) and document management platforms (e.g., iManage) is an advantage. 
  • Excellent organisational skills with the ability to prioritise multiple, competing deadlines.
  • Clear, confident written and verbal communication; able to interact with stakeholders at all levels.
  • Proficiency in Microsoft Word, Excel, and PowerPoint; familiarity with Microsoft Teams.
  • Ability to work under pressure in a fast-paced, global environment and handle confidential information with tact and diplomacy.
  • Genuine interest in the recruitment lifecycle and the legal/financial professional services sector.
