Overview of role

 

The Legal Secretary provides advanced secretarial support to the CFFIR attorneys, including assisting with the preparation of corporate agreements, legal opinions, memoranda of advice and client correspondence, file management and client billing.  They will be extensively involved in the billing process, including analysing work in progress and accounts receivable reports, preparing and raising appropriate matters for invoicing, sending same to clients and also following up on non-payments, where necessary.

Duties, Responsibilities & Person Specification

  • Answer incoming calls and maintain rapid response to all enquiries;
  • Maintain accurate records and correspondence files in relation to client matters
  • Liaise with international and local clients as appropriate and in accordance with given instructions and Firm policies
  • Liaise with Government ministries and departments, the BMA and the Registrar of Companies
  • Conduct searches at the Supreme Court and Registrar of Companies
  • Participate in special projects as and when required in relation to the corporate practice area
  • Creating, editing, amending and storing of correspondence and documents in the Firm's document management system
  • Responding to internal and external inquiries  in a professional and polite manner
  • Photocopying and scanning of documents and correspondence
  • Arranging meetings and diary management
  • Arranging the opening, closing and archiving of accounts and files
  • Organising cheque requests and collection
  • Supporting other members of the secretarial team and working collaboratively with them to complete work to a high standard and meet required deadlines
  • Providing cover for other secretaries within the team during times of absence, as required
  • Maintain accurate records and correspondence files in relation to client files
  • Liaise with clients as appropriate and in accordance with lawyers' instructions and firm policies
  • To be familiar with, and comply with, Firm policies relevant to the purpose of the job
  • Carry out any other duties commensurate with the purpose of the job.

Education, Skills & Experience

  • Basic working knowledge of Windows -Microsoft Word -Microsoft Excel – Outlook
  • Working towards a legal secretarial qualification from a recognised university or college and/or minimum of 2 years' legal or an equivalent combination of education and relevant experience.
  • Manage a complex and demanding workload and prioritise tasks and projects to meet work standards and personal performance targets
  • Ability to use legal precedents and billing systems preferred
  • Communicate clearly and effectively, both verbally and in writing
  • Participate in continuously improving services through critically evaluating systems of work, promoting new ideas and actively developing service improvements
  • Work in a flexible manner and respond to changing circumstances and emergency situations
  • Ability and willingness to occasionally work overtime when requested
  • Good organisational skills and attention to detail
  • Good communication and interpersonal skills
  • The ability to operate with strictest of confidentiality
  • Ability to multitask and work in a fast paced environment
