Overview of role
Office: London (50% hybrid required)
We have an exciting brand new opportunity for a Finance Assistant to join our established yet growing team in the London office.
Duties, Responsibilities & Person Specification
Accounts Payable
- Prepare and set up payments for payment run weekly
- Obtain and post credit card spending analysis from secretaries and fee-earners
- Ensure all supplier accounts are reconciled and payments are up to date
- Ensure AP mailbox is kept up to date and all queries are dealt with in a timely manner
- Ensure all AP invoices and employee expenses are posted to the system in a timely manner
- Ensure all disbursements are loaded to the system daily
Accounts Receivable
- Assisting with Accounts Receivable processes, including the posting and allocation of client receipts
- Supporting the follow‑up of outstanding client balances in liaison with fee‑earners and partners
- Responding to client and internal queries relating to invoices and account balances in a professional and timely manner
- Assisting with the preparation and review of aged debt reports
- Supporting reconciliations between Accounts Receivable, WIP and client ledgers as required
Billing
- Daily drafting and posting of bills for all fee-earning departments;
- Ensure correct VAT treatment for bills;
- Interaction with multiple teams to clarify billing rules and regulations;
- Assisting teams with the editing of time recordings;
- Carry out reconciliations for WIP and AR as required
- Process all Reversal/Reprint/Write off forms as requested
- Ensure Billing mailbox is kept up to date and all queries are dealt with in a timely manner
Bank
- Posting of cash receipts and payments daily
- Verification and set up of new payees on banking system
- Attend the bank with cheque lodgements
- Prepare bank reconciliations : Client accounts – monthly; office accounts - monthly
Other
- Carry out any other duties commensurate with the purpose of the job, including the performance of duties outside normal working hours;
- Assist other members of the finance team where possible during busy periods
Education, Skills & Experience
- Methodical and careful in your approach;
- Work independently and as a team member;
- Tact and diplomacy to deal with confidential matters;
- Manage a complex and demanding workload and prioritise tasks and projects to meet work standards and personal performance targets;
- Communicate clearly and effectively, both verbally and in writing. This will include high quality correspondence;
- Use and update computerised systems, including the accounts system, spreadsheets, word processing programs, with genuine interest in developing IT skills;
- Participate in continuously improving services through critically evaluating systems of work, promoting new ideas and actively developing service improvements;
- Work in a flexible manner and respond to changing circumstances and emergency situations.
- Ability and willingness to occasionally work outside normal working hours/days when requested
- Law firm experience advantageous but not essential
- Strong Microsoft Excel skills are essential
